Preparing a Document for Uploading into FormLizard

On the right is an image of part of a Non-Disclosure Agreement that has been properly formatted in a word processor. It would be time consuming to have to go through this document and find all of the blanks that need filling every time an NDA needed completing, not to mention the chance of error from missing blanks.

 

Preparing a document for FormLizard is a one time process. Anywhere information needs to go, simply add a field tag. A field tag is a name, created by you, surrounded by double brackets. You can see where we've added a tag for [[effective date]] and [[company name]] in the first paragraph. [[company name]] is used throughout the document but FormLizard will only ask for [[company name]] once and will fill in the information anywhere that field tag exists.

 

Be sure to save the file in RTF format before uploading.

Conditionals and Auto-Numbering

The image at right shows more of the NDA document. These clauses have been setup, in the word processor, to auto-number.

 

You will notice a tag called [[protectionclause]] at the beginning of 6. This is going to be a conditional clause. With a simple yes or no question we will be able to opt to include this clause or not.

Creating Interview Questions

Once you have uploaded your form into FormLizard you will need to define the questions that go along with each field tag. At left is an example of the information that goes into creating an interview question.

 

  • Name - This is what the field is called. This is for your reference only, the end user won't see the field name.
  • Label - This will appear above the answer section.
  • Question - To make the interview easier to complete ask the user a question to answer. See below for an example.
  • Help - Since this is a pretty straightforward question we have left the help section blank.
  • Type - This dropdown menu is used to pick how the answer will be entered. See Field Types for more information.
  • Required Field - This field will always have to be filled out for the document to be complete so we've checked "Required Field"
  • Account Field - These are usefull for information that stays the same from interview to interview such as addresses and phone numbers.

 

We have set this question's type to Conditional. This means that we can have more information inserted into the document depending on the answer given. In this case, if the answer given is Yes, the Protection Clause will be inserted and we will be prompted to give more information. See below for an example.

Building an Interview

Now that you have created the interview questions that will be used to fill out your document, you will need to organize them into an interview.

 

First you will select which documents will be completed by this interview. If you have a document that might be conditionally inserted as we do, don't add it to the list. FormLizard will grab it if it's needed. FormLizard will then show you a list of all of the questions that are required for those documents. Then it is simply a matter of creating pages and dragging the questions on to them.

 

In the example at right you can see that this interview is made up of only one page, Info.

 


 

 

 

Export Completed Documents

Once you complete an interview session you will be able to export a completed document.

 

In the example at right, we have answered No on the conditional question. As such the Protection Clause does not appear and the document continues on. To see what happens when you answer Yes, click here.
